Handling of Private Information

Yamato Holdings Co., Ltd. (hereafter referred to as "our company") recognizes the corporate responsibility to appropriately handle and protect information that can be used to identify specific individuals (hereafter referred to as "private information"). Private information includes the names, addresses, email addresses and other information of our customers, shareholders and employees. In order to fulfill our responsibility towards private information, we are implementing the following measures.

  1. Compliance with Laws & Regulations
    When handling private information, we comply with all laws and regulations pertaining to the protection of private information, as well as with internal regulations of our company.
  2. Purpose
    In addition to specifying the purpose for using private information, our company handles private information within the scope necessary for achieving that purpose, and does not handle private information in any way that exceeds that scope. Furthermore, for cases in which the purpose of private information is restricted by laws or regulations, our company does not handle private information in any way other than the applicalbe purpose.   3. Collection of Private Information
    When collecting private information, collection is performed within the scope required for business and using methods that are fair and legitimate.
  4. Appropriate Management of Private Information
    Measures are taken to ensure that private information is kept up-to-date. Also, measures are taken to prevent invalid access to private information, as well as to prevent loss, destruction, modification and leakage.
  5. Restriction of Supply of Information to Third Parties
    As a general rule, our company does not supply private information to third parties, except for cases in which agreement has been received from the customer, shareholder or employee, or in cases based on laws and regulations. However, within the necessary scope for achieving the purpose of private information, for cases in which the handling of private information is consigned, for cases such as mergers, and for cases in which private information is used jointly with specific parties which are defined separately, private information may be supplied to parties outside of our company without receiving agreement from the customer, shareholder or employee.
  6. Handling of Delicate Information
    Our company does not collect, use, or supply to third parties any delicate information (information related to political views, religion, labor union affiliation, race/ethnicity, family lineage, permanent address, medical insurance, etc.) of our customers, shareholders and employees, except for cases based on laws and regulations, and for cases in which agreement has been received from the customers, shareholders and employees of our company for the handling of information within a scope necessary to conduct business.
  7. Supervision of Consignees
    When consigning the private information of customers to a third party, secure information management by the consignee is ensured through appropriate supervision measures that include the conducting of nondisclosure agreements.
  8. Joint Use
    With the exclusion of shareholders, the private information of customers is used jointly in the Yamato Group.
  9. Requests for the Disclosure of Private Information, etc.
    Regarding requests for the disclosure, correction, deletion, and suspense of use of private information, except for cases in which a separate rule is defined by laws and regulations, rapid response within a reasonable scope will be performed once the request has been received by the applicable section of our company.
  10. Management System
    In addition to making every effort to store and manage private information in an accurate and up-to-date manner, reasonable safety management measures are implemented in order to prevent leakages of information. Furthermore, appropriate supervision is performed for employees and consignees that handle private information.
  11. Continual Reform
    Based on the expansion of information technology and changes in social requests, the management system and projects for the protection of private information are revised on a timely basis and continual reforms are implemented.
